Click on the New or Edit menu item or button to add a new task or edit an existing one. You can also use the shortcut keys CTRL + INS to add a task and F2 to edit the selected task in the grid. Or simply press enter on the selected task in the task data grid and it will be opened in the task window. Note that you can press the spacebar to toggle the currently selected task for completion or not.
When adding a task, type in a short description for your task. This short description will be visible in the grid. If you need to add a lengthy explanation then use the notes memo box.
Or if you are editing or updating the task, click on the notes tab at the top to enter notes. There is a speed button to paste the current date & time into your notes. This date & time format can be changed in your regional settings.
Specify a Category to categorise your tasks. This makes it easier to find a task or to group them. You can select a category and print all the tasks belonging to that category.
Set the Priority between 1 - 10 according to your estimation of how important the task is.
Set the task's Occurrence to Immediate, Todo, Minutes, Hourly, Hours, Daily, Days, Weekly, Weeks, Monthly, Months, MonthDay, Yearly, Years or Scheduled according to when a task should occur and re-occur.
If you have an Hourly or Hours occurrence then make sure to enter the range of valid hours i.e. if you only want this task to happen hourly between 0:00 (midnight) and 6:00 (in the morning) then choose the valid hours from "0" and to "6". The Hourly events will happen every hour. The Hours events will happen in increments of the frequency specified. So if you want the event to happen every 2 hours, then specify a frequency of 2.
If you have a Daily or Days occurrence you must also choose the valid days by clicking on the speedbutton next to the Occurrence drop down. Valid days will be from Monday to Sunday. If you want a Daily task only to occur on Monday, Tuesday, Thursday and Sunday just check their checboxes.
If you have a task with an occurrence of Minutes, Hours, Days, Weeks, Months and Years then use the Frequency spin edit and specify the Frequency increments. So if you have task that should re-occur every 2 weeks you set the occurrence to Weeks and the set the Frequency to '2'.
If you have a task that should appear the second Monday of every month then select an occurrence MonthDay. Click on the speedbutton next to the Occurrence drop down and select "The occurrence in the month" Second and select Monday.
When you are prompted on tasks that should increment (re-occur) every year, month, week, day etc. you will notice that the due date & time and alarm date & time are automatically incremented when you click on the Apply Occurrence button to have them re-occur according to their occurrence setting.
Use the Todo occurrence to add tasks for things that you need to do later. Use Todo when an idea pops into your mind and you want to capture it for a later review to schedule or to prioritize it. I personally use this when users give me great tips or requests for my software. I create a task with Category = 'Software Name' and the Occurrence = 'Todo'. Later when I can spend time on the next version of this software I print a list of all the Todo's and work through the task list.
Use the Immediate occurrence to add a task for very important things to do immediately for today. Sometimes I need to make a very important phone call and I select the Immediate Occurrence. This occurrence is for Tasks that are highly important but don't have a specific time for you to schedule them to.
Specify the Due Date & Time for when a task is due, e.g. when you have a meeting and set it for a specific date & time.
The Alarm Date & Time can be set to prompt you just before the task is due, e.g. you want to be prompted 10 minutes before the meeting. Or maybe a day before the time to make sure you have prepared for the meeting.
You can also delete a task when you are prompted or editing it by clicking on the Delete button. |
